Booking

The Booking module lets your clients book appointments themselves, in your open slots. They get a confirmation and a reminder the day before, and can cancel or move their appointment without calling you.

First, your opening hours

A calendar draws its slots from the Opening hours module: set your opening hours there, then pick them in the calendar's "Settings" tab. A holiday or a closure set in your hours closes bookings on that day too. The hours' time zone rules as well: your clients see "2 PM (Toronto time)", wherever they book from.

Services

What can be booked: a name, a duration, an optional price and a buffer. The buffer is the time you need afterwards (tidy up, clean): it blocks the calendar without showing to the client. A service must end before closing; its buffer may run over.

Clear a service's name to remove it. Appointments already booked stay, with the name the service had.

Settings

• A slot every 15, 30 or 60 minutes.
• Seats per slot: 1 for an appointment, more for a class (up to 20).
• Notice: no booking less than two hours ahead, for example.
• Horizon: how many days ahead people can book.

What your clients receive

• A confirmation, in your name, with the appointment to add to their calendar and a link to manage it.
• A reminder, the day before.
• The "Manage my appointment" link: cancel or change the time up to the start of the appointment, without an account. A move only frees the old slot once the new one is taken.

Their replies come straight to you. The same address can hold at most three upcoming appointments on one calendar.

The "Appointments" tab

The week, day by day, in your business's time. You can cancel an appointment there (the person is told by email) or add one, for a client on the phone: the slot must be free and within your hours, with no minimum notice. An email also lets you know about every appointment booked, moved or canceled.

To block a day or a half-day, set a special day in your opening hours. To block a precise slot, add an appointment in your own name.

What it does not do

It takes no online payment, and one calendar is one person or one room: for two people, create two calendars.
